# How to Create and Launch an Email Campaign

To start a new cold email campaign in Mailgo, follow the steps below:
## Step 1: Create a New Campaign
1. Navigate to the **Campaigns** tab in your Mailgo dashboard
2. Click the “**+ Add New Campaign**” button in the top-right corner to begin
## Step 2: Add Leads to Your Campaign
Click the “**+ Add Leads**” button and choose your preferred method to import leads:

- Select “**Import from CSV**”
- Download the template provided, fill in your lead data, and upload the file

## Step 3: Edit Your Email Sequence
Set up your outreach sequence using the campaign editor:
- Click “**Add Email**” to create your first message
- Add follow-up steps by clicking “**Add Email**” again
- Set the number of days between each email step
- You can add as many follow-ups as you need
- When you're ready, click “**Next**” to proceed to **Campaign Settings**
## Step 4: Personalize Using Variables
Add dynamic variables to personalize your emails:

- Click the **** **bolt icon** near the **Save** button in the top-right corner of the editor

- Select the **email account** to send from

This guide breaks down the essentials of email authentication—**SPF, DKIM, and DMARC**—explaining how each protocol works, why they matter for email security and deliverability, and how to set them up properly.
## SPF (Sender Policy Framework)
### What is SPF?
SPF helps protect your domain from spoofing by letting you specify **which mail servers are allowed to send on your behalf.** It works by adding a special DNS TXT record that lists approved IP addresses.
When an email is sent, the receiving server checks this list. If the sender matches, the email passes SPF; otherwise, it may be flagged as suspicious or rejected.
### How SPF Works
1. **Initiation:** The receiving server checks the sender domain in the email header.
2. **DNS Lookup:** It fetches the SPF record from your domain’s DNS.
3. **Verification:** It compares the sender's IP with what's listed.
4. **Decision:** Match = pass; no match = fail.
### SPF Record Components
- **v=spf1:** Declares the SPF version.
- **Mechanisms:** Rules like a (domain’s A record), mx (MX servers), or ip4/ip6 (specific IPs).

2.Sign in to your domain host. Go to the page where you update DNS TXT records for your domain. Add or update the TXT record with this information (refer to the documentation for your domain):

**Note：**
**Problem:** A domain name can **only have one SPF record**. If there are multiple records, the recipient will directly determine that it is invalid.
Solution: Merge all the rules into one record and separate them with spaces.

## DKIM (DomainKeys Identified Mail)
### What is DKIM?

- **Signing:** Your email provider signs outgoing messages using a **private key**.
- **DNS Record:** The recipient retrieves the **public key** from the sender’s DNS to verify the signature.
- **Validation:** A valid signature confirms authenticity; an invalid one suggests tampering.

## How to Enable Email Warm-up?
When you add a new email account, Mailgo will automatically start the email warm-up process. On the **Accounts** page, you can view the warm-up status of your email accounts, such as **Active** or **Paused**, along with your current reputation score and other warm-up details. You can also use the control button at the end of the row to pause or restart the warm-up process at any time.

## Warm-up Panel and Reputation Score
By clicking on an account, you will access the account management panel, where the first tab is the **Warm-Up** panel. In this panel, you can view the current reputation score, the destination of warm-up emails that have sent, and warm-up activity statistics of the account.
The reputation score reflects the overall health of your email account. The higher the score, the greater the likelihood that your marketing emails will land in the recipient's inbox. Accounts are categorized into three statuses based on their reputation score.
Mailgo recommends starting your marketing campaigns when the score is 100. However, you can design your activities based on your reputation status as appropriate, but please keep this in mind: sending marketing emails when your reputation score is low may further decrease the score.

Mailgo is initializing to launch conversations with relevant email accounts to start warming your email address.
It usually takes 1 day to see the first interaction (first warming email sent or first received). That's normal, don't worry.

For several reasons out of Mailgo‘s’ control, some emails can't be automatically hidden (automatic replies for example). If the delay of several seconds is a problem, we got your back with an additional filter for Google / Microsoft.

## 1. Verify Your App Password
- Changing your primary Google Account password invalidates existing app passwords
- Generate a **new app password** in your Google Account settings
- Immediately update this new password in your Mailgo account settings
- Go back to Mailgo and **Reconncet** this email account.
## 2. Confirm IMAP Access
Ensure IMAP is enabled in Gmail:

## Access the Microsoft Admin Center
Log in to your [Microsoft Admin Center](https://admin.microsoft.com/ "https://admin.microsoft.com/") on your computer using an administrator account. Ensure you have proper permissions to manage user settings.
## Navigate to Active Users
From the admin dashboard, locate and click on [**Users**](https://admin.microsoft.com/adminportal/home#/users "https://admin.microsoft.com/adminportal/home#/users") in the left-hand menu, then select **Active Users** to view your organization’s user list.
## Configure Email App Settings
- Select the specific user account you want to bind to Mailgo.
- In the user details panel, navigate to the **Mail** tab.

## Enable SMTP and IMAP Authentication
- Locate the **Authenticated SMTP** option and check the box to enable it. This allows secure outgoing email via SMTP.

## Save Your Changes
Click **Save Changes** to apply the configurations. A confirmation message will appear, noting that updates may take time to propagate.
## Wait for Propagation and Connect to Mailgo
- Allow **1 hour** for the settings to sync across Microsoft’s servers. This delay ensures the authentication protocols are fully activated.
- After the waiting period, log in to your Mailgo account, navigate to **Accounts**, and enter your Microsoft email credentials. Mailgo will automatically detect the enabled SMTP and IMAP settings to complete the binding process.

On the Contacts page, you can see all the contacts you’ve added, along with their details such as Name, Company, the List they belong to, and any Campaigns associated with them. You can click the Operation button to remove a contact or click on the contact name to modify the details.
## How to import contacts？
Mailgo offers two methods for importing contacts: **Import from CSV** and **Manually Enter Email Addresses**. To get started, click the **Import New Contacts** button and select your preferred import method

## How to Improve Daily Campaign Sending Ability?
Improving your campaign's daily sending ability primarily depends on the relationship between your total account sending limits and your campaign limit.
### Scenario 1: Sum of Accounts Sending Limits < Campaign Sending Limits
When the total daily sending limit of all selected accounts is less than the campaign's set sending limit, you won't be able to fully utilize the campaign's potential.
Example: If a campaign has a limit of 100 emails per day but uses two sending accounts (e.g., a@mailgo.ai, b@mailgo.ai), and each account has a daily sending limit of 10 emails , then this campaign can only send 20 emails per day.
#### **Solutions:**
1. **Add More Email Accounts**
- We recommend sending 30 campaign emails per day per account.
- If you want to send more emails, add more sending accounts to your campaign.
- For example: 10 accounts can send up to 300 emails per day (10×30).
2. **Improve Account Sending Limits**
- **How to set**: Go to "Account Settings" → "Daily Sending Limit".
- Make sure your sending limit matches your Email Health Score. It's preferable to choose the "Daily recommended sending value" to avoid negatively impacting your health score. ****

Important Note:
Sending more than 50 emails per day per account can harm your email reputation and deliverability.
The best way to scale is by acquiring more domains and email accounts, rather than exceeding the email limit per account.

- Avoid using the same sending accounts across multiple campaigns.
- Assign specific accounts to individual campaigns for better performance.
4. **Check Time Gap Settings**
- Ensure the time gap between your emails allows for sufficient sending within your schedule.
- **How to set**: Go to "Account Settings" → "Minimum wait time".
- **Default**: 10 minutes (to simulate human-like sending behavior).
### Scenario 2: Sum of Accounts Sending Limits > Campaign Sending Limits
When the total daily sending limit of all selected accounts is greater than the campaign's set sending limit, the actual sending volume of the campaign will be limited by the campaign's own settings.
Example: If a campaign has a limit of 30 emails per day but uses two sending accounts (e.g., a@mailgo.ai, b@mailgo.ai), and each account has a daily sending limit of 50 emails , then this campaign can still only send 30 emails per day. This means you are not sending emails efficiently.

This article explains how to set daily sending limits for your accounts and campaigns to control your outreach volume effectively.
There are two types of sending limits:
- Account Limit: The maximum number of emails an individual sending account can send per day across all of its assigned campaigns.
- Campaign Limit: The maximum number of emails a specific campaign can send per day, using all of its assigned sending accounts.
Note: These limits apply only to campaign emails and do not affect or include warm-up emails.

## How to Increase Your Sending Limit
Follow these steps to update the sending limit to the recommended level:

2. In the "Increase Sending Limit" pop-up, Mailgo will display the accounts that are ready for an increase. The new, suggested limit for each account will be shown on the right, calculated based on its current Email Score.
3. Click **Update Now** to automatically apply the suggested sending limits.
Important Notes
- The maximum daily sending limit for any single account is 200.
- To protect your sender reputation and avoid triggering spam filters, we strongly recommend using the suggested sending limit. Setting the limit too high manually can negatively impact your deliverability.
# Microsoft Connection Troubleshooting
**Resolving Connection Errors (Oauth Connection broken or IMAP Issues)**
If you encounter connection errors when linking to your account, follow these steps:
## 1. Oauth Connection Broken
Click "**Reconnec** **t**" and "**Accep** **t**" to grant Outlook or Microsoft 365 permissions to Mailgo.

To ensure stable and efficient campaign management, Mailgo sets three independent monthly quotas for all users. These quotas are critical for controlling campaign costs and optimizing resource allocation:
- Email Sending Usage: The maximum number of emails you can send to your contacts in a month.
- Active Contacts Sending Usage: The maximum number of unique active contacts you can target with emails in a month (note: this quota is based on contact count, not the number of emails sent).
- Email Verification Usage: The maximum number of email addresses you can verify for validity (to reduce bounce rates and improve deliverability) in a month.
You can check the real-time status of all three quotas at any time by navigating to **Settings > Billing** in your Mailgo account.

This error occurs when Mailgo’s system determines that the campaign cannot be executed as planned, due to one or both of the following reasons:
- Inadequate sending schedule: The time frame (from the campaign’s start date to end date) is too brief to accommodate the total number of emails you intend to send, based on daily sending limits.
- Insufficient sender accounts: The number of active sender accounts linked to your campaign is not enough to meet the daily email volume required to finish the task within the set schedule.
The pop-up window will provide specific details (e.g., the required minimum end date, or the number of additional sender accounts needed) to help you address the issue accurately.
## Resolution Steps
To resolve this issue and ensure your campaign runs smoothly, you can choose one of the following two solutions based on your business needs:
### Solution 1: Adjust the Campaign’s End Date
1. When the error pop-up appears, review the **Suggested Date** displayed (this date is calculated by the system to ensure the campaign can be completed with your current sender accounts and daily sending limits).
2. Navigate to the campaign’s scheduling settings.
3. Update the **End Day** to either:
a. The system-provided **Suggested Date**, which aligns with your existing resources to avoid delays; or
b. Select "**No End Day**", which removes the fixed end date and lets the campaign proceed at a pace supported by your current sender accounts.
4. Save the updated schedule. The system will automatically adjust the daily email sending volume to fit the new time frame.
### Solution 2: Add More Sender Accounts to Increase Daily Sending Capacity
1. If you prefer to keep the original campaign schedule, you can boost your daily sending ability by adding more active sender accounts.
2. Add more Active accounts to this campaign or click "**Add to** " and follow the on-screen instructions to set up and verify the new account (ensure the account completes necessary authentication steps like SPF, DKIM, and DMARC to maintain deliverability).
3. After verifying the new sender account(s), return to your campaign settings and associate the new account(s) with the campaign.
4. Save the changes—your campaign will now use the additional sender accounts to meet the required daily sending volume and stay on schedule.
# Change sending accounts for your campaigns
## Issue Description

This message typically appears when the sender account currently assigned to your campaign is experiencing issues (e.g., authentication failures, temporary restrictions, or configuration errors), preventing the campaign from sending emails as scheduled.
## Resolution Steps
To resolve the sender account error and resume your campaign promptly, follow these steps:
##### **1.Access the Sender Account Selection Pop-up**
When the "Sender Account Error" pop-up appears, locate and click the **Account to Use** button. This will open a dropdown menu displaying all available sender accounts linked to your Mailgo account.
##### **2.Select an Alternative Sender Account**
From the dropdown menu, choose a different sender account that is active and properly configured.
##### 3.Save Changes and Relaunch the Campaign
After selecting the alternative account, click the **Save and Relaunch** button. This action will apply the new sender account settings and restart your campaign, allowing email delivery to resume immediately.

You can easily import leads into your Mailgo campaign using a Google Sheet. Follow the steps below:
